BMC Helix Pricing 2026: ITSM Plans, Per-User Costs, and Hidden Fees
BMC Helix pricing is hard to pin down, because BMC Helix publishes no price list. Every product page ends in a Request Pricing button. So most buyers start their IT service management budget with a guess.
Real numbers do exist, though. Two BMC resellers list per-user rates on the UK government's G-Cloud 15 marketplace. Both lists date from January 2026.
In this blog, you will:
See the listed rates: Per-user prices for every BMC Helix ITSM package.
Estimate a yearly bill: Costs worked out for small, mid-sized, and large teams.
Spot the extra costs: The license terms that push the invoice above the quote.
By the end, you will know what a BMC Helix quote should look like.
BMC Helix Pricing at a Glance
BMC Helix ITSM lists at £102 to £310 per named user per month. Concurrent licenses run from £306 to £920 on the same public lists. The table below shows each package, and every figure excludes VAT.
BMC Helix Package | Sold As | Named User / Month | Named User / Month (USD) | Concurrent User / Month |
Helix ITSM Service Desk | Standalone license, entry tier | £102.15 | About $136 | £306.50 |
Helix ITSM Service Optimization | Standalone license | £108.15 | About $144 | £324.50 |
Helix ITSM Suite | Standalone license, full suite | £185.30 | About $246 | £555.90 |
Helix Service Management Standard | Bundle tier | £240 | About $319 | £700 |
Helix Service Management Advanced | Bundle tier | £310 | About $412 | £920 |
Note: these are UK G-Cloud 15 list prices from two BMC resellers. They were published in January 2026 and checked on October 1, 2026. BMC does not publish them itself, and private-sector quotes in US dollars will differ.
At $1.33 to the pound, named users cost roughly $136 to $412 a month. Three patterns in the table matter more than any single price:
Concurrent seats cost about three times more: A shared seat only pays off when three or more people take turns on it.
The bundle costs more than the suite: Service Management Standard runs about 30 percent above Helix ITSM Suite. It adds the portal, workflow tools, and AI agents.
Advanced adds about 29 percent: The premium buys HR, facilities, security incident response, and every AI agent.
For a team that only needs a service desk, the standalone rows are the right comparison. The bundle rows matter once HR, facilities, or AI agents are on the list.
What Is BMC Helix, and Who Owns It Now?
BMC Helix is an enterprise platform for IT service and operations management. Its ITSM product, BMC Helix ITSM, grew out of BMC Remedy. The BMC Remedy ITSM page now sits under the BMC Helix brand.
The company behind it changed hands in 2026. According to BMC's June 17, 2026 announcement, Montagu agreed to buy a majority stake in BMC Helix. The deal is a carve-out from BMC Software, which keeps a minority stake. Neither side disclosed the price.
You can already see the split. Helix product pages and docs now live on their own domain, helixops.ai. BMC Software keeps its automation and mainframe products. Once the deal closes, your contract and renewal talks will happen with a standalone company.
How Does BMC Helix Pricing Work?
The BMC Helix pricing model for ITSM is a per-user subscription. Its IT operations and AIOps products are licensed per device or asset instead, and none of them appear on the public price lists. For ITSM, you buy either named user or concurrent user licenses. Then you pick a package and a term. The quote multiplies those choices by your user count.
There is a floor, too. According to the BMC Helix Service Management documentation, every customer needs at least three named user licenses. The rule holds even for buyers who mainly purchase concurrent seats.
Named Users vs Concurrent Users
A named user license belongs to one person. Nobody else can use it. A concurrent license sits in a shared pool. Any user can take a free seat at login.
The price gap between them is wide. On the January 2026 G-Cloud lists, a concurrent seat costs 2.9 to 3 times a named seat at every package level.
That ratio gives you a simple rule. Concurrent licensing only saves money when each seat serves at least three people. In practice, that means round-the-clock shifts or part-time agents. A day-shift desk where everyone works the same hours should buy named licenses.
What One License Covers
One Service Management license covers one person across every Helix app in the bundle. BMC counts each unique user once. An agent working in Helix ITSM and Business Workflows uses one license.
Each license brings portal capacity for employees, too. BMC's documentation ties 100 active users on Digital Workplace, the employee portal, to every license. So 100 agent licenses cover 10,000 monthly active employees.
In other words, agent seats drive almost the whole bill. We see the same pattern in most enterprise ITSM quotes. So get your agent headcount right before you ask for pricing.
BMC Helix ITSM Pricing by Package
There are two ways to buy BMC Helix ITSM. You can buy standalone Helix ITSM licenses or the broader Service Management bundle. BMC's documentation allows one or the other, never both in one subscription.
1. BMC Helix Service Management Standard and Advanced
BMC Helix Service Management is the current bundle, sold in Standard and Advanced tiers. According to the Tekwurx G-Cloud 15 pricing document, Standard lists at £240 per named user per month. Advanced lists at £310, and both need a 12-month minimum term.
Both tiers include the core ITIL processes. That means incident, problem, change, release, service levels, knowledge, and a CMDB. The table below shows where the two tiers differ.
Capability | Standard (£240) | Advanced (£310) |
Incident, problem, change, release | Yes | Yes |
CMDB and asset management | Yes | Yes |
HelixGPT agents | Three of your choice | All pre-built and custom |
Ticket Resolver agent | No | Yes |
HR and facilities service management | No | Yes |
Security incident response | No | Yes |
Self-registered portal users included | 50 | 100 |
Note: prices come from a UK G-Cloud 15 reseller listing and exclude VAT. Features come from BMC Helix documentation checked on October 1, 2026.
Advanced is mostly an upgrade for HR, facilities, and AI. If HR and facilities will stay on another tool, Standard covers the IT work. Watch one detail at upgrade time. BMC's terms say you forfeit Standard entitlements when you buy Advanced. Ask how any unused Standard term is credited before you upgrade.
2. Standalone BMC Helix ITSM Licenses
Standalone Helix ITSM licenses are the cheaper way in. They are still on sale in 2026. According to the Fusion GBS G-Cloud 15 listing, the standalone tiers carry these monthly rates. Fusion GBS describes itself as a BMC Elite Partner.
License | Named User / Month | Concurrent User / Month |
Helix ITSM Service Desk | £102.15 | £306.50 |
Helix ITSM Service Optimization | £108.15 | £324.50 |
Helix ITSM Suite | £185.30 | £555.90 |
Note: the reseller calls these the Helix base list for SaaS, billed monthly. Volume discounts are available. The document is dated January 28, 2026.
Service Desk is the entry point, at about $136 per named user per month. Suite sits close to the bundle in price. The bundle costs about £55 more per user each month, and that gap pays for the portal, workflow tools, and AI agents. A small desk that only works tickets can usually skip them.
3. HelixGPT Pricing
HelixGPT has no price of its own, since BMC sells no separate SKU for it. According to BMC's HelixGPT licensing page, the full set of AI features comes with both Service Management tiers. Standalone Helix ITSM, SaaS or OnPrem, gets only two of them: Employee Navigator and Insight Finder.
The license does not include the AI model itself. BMC's documentation says customers must bring their own compute and large language model for HelixGPT. The license unlocks the features. You pay to run the model, through a cloud AI provider or your own compute.
4. BMC Remedy and Remedyforce Pricing
BMC Remedy pricing now means BMC Helix ITSM pricing, because Remedy became Helix ITSM. An on-premises edition, BMC Helix ITSM OnPrem, still exists. No public price list we found includes it, so on-premises buyers need a quote.
Remedyforce is a different product. BMC built this help desk on Salesforce and sells it through Salesforce AppExchange, with a 30-day free trial on the BMC Helix website. A price of about $115 per user a month often gets quoted for BMC Helix. That figure comes from the Remedyforce listing, not from Helix ITSM.
How Much Does BMC Helix Cost per Year?
A small BMC Helix service desk costs roughly £18,000 (about $24,400) a year at list price. A large enterprise can pay close to £750,000 (about $987,000). The estimates below multiply the G-Cloud rates by agent count and 12 months.
Setup | Assumption | Estimated Yearly Cost |
Small service desk | 15 named agents on Helix ITSM Service Desk | £18,387 (about $24,400) |
Mid-sized IT team | 50 named agents on Service Management Standard | £144,000 (about $191,000) |
Mid-sized, shift-based | 20 concurrent seats on Service Management Standard | £168,000 (about $222,900) |
Large enterprise | 200 named agents on Service Management Advanced | £744,000 (about $987,000) |
Note: these software-only estimates use UK G-Cloud list prices before VAT. Dollar figures use $1.33 to the pound. They leave out implementation, extra environments, AI model costs, and discounts.
Each row tells a different story once you look at the monthly math:
Small service desk: Fifteen agents at £102.15 come to £1,532 a month. This setup skips the bundle. It buys the core desk without the extra workflow tools and AI agents.
Mid-sized IT team: Fifty agents at £240 cost £12,000 a month. Here the bundle starts to make sense. Fifty licenses also cover a portal for 5,000 active employees.
Mid-sized, shift-based: Twenty concurrent seats at £700 cost £24,000 more a year than 50 named seats. We would only switch to concurrent once each seat replaces three named users or more.
Large enterprise: Two hundred agents at £310 come to £62,000 a month. A deal that size carries real weight in discount talks, so push hard.
What Increases Your BMC Helix Costs?
Five terms and project costs push a BMC Helix bill above the per-user rate. Each one comes from BMC's own documents or from customer reviews. Each one also belongs on your list of quote questions.
1. You Pay for Your Own AI Model
HelixGPT needs a large language model and compute that you supply. BMC's license covers the AI features. The model's usage bill lands on your cloud account. Ask which model providers BMC supports, and budget that usage next to the license. We would ask for a usage estimate in writing.
2. Concurrent Seats Stay Taken for an Hour
BMC's terms say a concurrent license is used up as soon as someone logs in. It then stays held for at least one hour if the user goes idle. An agent who logs in to check one ticket blocks that seat for an hour. Plan your concurrent pool with more headroom than shift math suggests.
3. Extra Environments and Extra Portal Users Cost More
A Helix ITSM subscription includes three environments: development, QA, and production. Anything beyond those three costs extra, such as a second test tenant.
The employee portal has limits too. Each license covers 100 active Digital Workplace users. Bigger workforces need extra packs of 100 users. Guest users come in separate packs of 1,000.
4. Going Over Capacity Bills You for the Rest of the Term
BMC Helix can check your usage at any time. According to the BMC Helix Cloud Services Master Agreement, BMC may monitor SaaS usage. A customer found over capacity must order the extra capacity through the end of the term. On-premises customers face a yearly audit with the same result.
Integrations count as well. The license terms ban using integrations to get around user licensing, so a bot account that works for many agents can count as extra users. Chat tools wired straight into the ticket queue are the usual place to check. Basic software license management habits keep an audit from becoming a surprise invoice.
5. Implementation and Customization Need Outside Help
BMC Helix ITSM rarely goes live without a partner. A Head of IT at National ITMX wrote on PeerSpot that it took around one year to roll out incident, problem, and change. The same reviewer said "most customizations require vendor support, which leads to extra costs."
Partner fees sit outside the license quote, so price them separately. Most of that cost comes from scope creep. The same ITSM implementation pitfalls show up on Helix projects, so lock the scope before you sign the statement of work.
BMC Helix User Reviews: What Teams Say About the Cost
Users praise BMC Helix ITSM for its stability and scale. Cost and customization draw the most complaints. According to G2, BMC Helix ITSM scores 3.7 out of 5 from 299 reviews.
On Software Advice, it scores 4.1 out of 5 from 116 reviews and 3.85 for value for money. PeerSpot users give it 8.0 out of 10 on average.
The praise centers on reliability. PeerSpot reviewers describe stable releases, strong scaling, and solid built-in ITIL processes. Some picked Helix because it cost less than ServiceNow. A reviewer at Abcl wrote that "its pricing is one-fourth of ServiceNow's."
The complaints center on total cost. The National ITMX reviewer called the pricing and implementation costs "quite high, including subscription and maintenance costs per year." The same reviewer struggled to show savings to management after five to six years.
The reviews are split by company size. Large enterprises that use the full platform tend to see value. Teams that need heavy customization feel the cost most, and we hear the same reasons in most ITSM tool replacement projects.
Is BMC Helix Worth the Price?
For large enterprises that use its full depth, BMC Helix is worth the price. For teams that only need a solid service desk, it usually costs too much. The two lists below show where each case applies.
BMC Helix Works Best For
Remedy customers who run custom AR System apps and want to keep them.
Large enterprises that need IT, HR, facilities, and security cases on one platform.
US government and defense buyers who need FedRAMP or DoD Impact Level 4 and 5 hosting.
Teams with in-house BMC skills or a long-term implementation partner.
BMC Helix May Not Be the Right Fit For
Mid-sized IT teams that need ITSM without paying for enterprise service management.
Teams that want patch management in the same product as the service desk.
Buyers who need a price they can check before a sales call.
Organizations without the budget for a year-long, partner-led rollout.
Our position is simple. If your team will not use HR, facilities, or custom AR apps in the first two years, the Service Management bundle charges you for capacity you will not touch.
A Simpler Way to License ITSM: Motadata ServiceOps
Teams that want ITSM without bundle pricing often compare BMC Helix with Motadata ServiceOps. ServiceOps is our ITIL 4-aligned ITSM platform. It runs the service desk, asset management, and patch management on one shared CMDB.
We license it in modules instead of one bundle. You can buy each module on its own or combine them. A team that only needs ITSM pays for ITSM. Both named and concurrent user licenses are available, on subscription.
A few facts make the comparison concrete:
ITIL 4 accreditation: ServiceOps appears as ITIL 4 compliant in the PeopleCert Accredited Tool Vendor directory, across 12 ITIL practices.
Deployment choice: You can run it as SaaS, on-premises, or in a private or public cloud.
Patching in the same product: Patch and package management for Windows, macOS, and Linux sits beside the service desk.
Monitoring to ticket: ServiceOps shares one foundation with ObserveOps, and together they form a unified observability and ITSM platform.
Two limits are worth knowing before you compare quotes. Our AI features, including the Agentic AI and Orchestration module, carry their own license, so add them to your quote request if you need them.
ServiceOps also has a smaller partner ecosystem than BMC Helix. Teams with deep Remedy customizations will have more to rebuild.

Build a BMC Helix Budget You Can Check Line by Line
Quotes hide BMC Helix prices, but the structure is public. Agent count, license type, and package set most of the bill. An AI model, extra environments, and partner time sit on top.
The G-Cloud rates are UK list prices, so your own quote will differ. Large deals usually land below list. Even so, a reference price lets you negotiate from the first sales call.
Bring your agent counts by license type, your environment needs, and your AI model plan to that call. Then test the quote against clear ITSM selection criteria. Those criteria show whether Helix earns its premium for your team.
FAQs
Does BMC Helix offer a free trial?
BMC Helix ITSM offers a free self-guided demo, but no hands-on trial. Its website's 30-day free trial covers Remedyforce, the Salesforce-based help desk. Motadata ServiceOps offers a full 30-day free trial.
Is BMC Helix Discovery included in the price?
BMC sells Helix Discovery as a separate product, priced by quote. It sits outside the Standard and Advanced entitlements, though both tiers include the CMDB. Motadata ServiceOps includes agent-based and agentless discovery in its asset management module.
Is BMC Helix cheaper than ServiceNow?
Neither vendor publishes a commercial price list, so no like-for-like comparison exists. Several PeerSpot reviewers chose Helix because it cost less than ServiceNow. Our ServiceNow pricing breakdown covers its tiers if you are comparing both.
Can you negotiate BMC Helix pricing?
Yes, and bigger deals get bigger discounts. On G-Cloud, Fusion GBS offers 2 percent off contracts above £250,000. The discount rises to 10 percent above £5 million. Commercial deals are negotiated privately, so bring a list-price benchmark.
Is there a cheaper alternative to BMC Helix?
Yes. Motadata ServiceOps licenses the service desk, asset management, and patch management as separate modules, so you pay only for what you use. Its partner ecosystem is smaller than the one around BMC Helix, though.
